Use this page to look after the stores and chains that offers, campaigns and the app rely on. You work on the Stores screen in Lobyco Nexus, which has a Stores tab and a Chains tab.
Admin users who can only view stores see View instead of Edit, and they don’t see Create, Import, Deactivate or Remove store. They can still use Export.

Open the Stores screen

Open Store configuration → Stores. The Stores tab opens first. It lists every store, and the Chains tab lists every chain. A chain is a retail brand, and a store belongs to exactly one chain. You pick the chain when you create a store. The Stores tab of the Stores screen, with the Stores and Chains tabs at the top and the Export, Import and Create buttons at the top right. The ID, Name and Chain filters sit above the list: Name holds new store, Chain reads All chains, and 2 items shows next to them. The list has the columns ID, Alternate ID, Name, Chain, Contacts, Address and Status. Its two rows are new-store-1, My new store, chain 20, Active, and new-store-2, My new store 2, chain 20, with a test email, phone number and address, Active. The second row's ⋯ menu is open, with Edit, Deactivate and Remove store. Items per page 10 and 1 – 2 of 2 are below the list. The Stores tab, filtered by name, with a store’s menu open

Find a store

Use the three filters above the list. The list updates as you type. Under the filters you see how many stores match, for example “25 items”. The list shows 10 stores at a time. Use the paging controls at the bottom to move on or to show 25 or 50 at a time. If nothing matches, the list says No results. The list has these columns: Select a row to open the store. The ⋯ menu at the end of the row has the other actions.

Create a store

  1. On the Stores tab, select Create. The Create store form opens.
  2. Fill in the fields, using the tables below.
  3. Select Save. The portal takes you back to the store list.
Save stays disabled until every required field is filled in. If a required field is empty, it shows Please, fill out the field. The form is split into blocks. The first three hold the store’s identity. The next two blocks hold the contact details and the address. The Create store form, with every field empty. ID, which is required, and Alternate ID come first. Then Name, which is required, Registration number, and Type and Status, both reading Not selected. Then Chain, reading --- Select chain ---. Then Email and Phone, then City, Country, Postal code, Street name, Street number, and Time zone, set to (UTC+01:00) Central European Time. The Opening hours block, Choose when store opens and closes, has one row for each weekday from Monday to Sunday, each with Store opens at and Store closes at time fields reading Select time, and the switches Store is opened all day and Store is closed all day, all off. The Geo-coordinates for the store block has Add coordinates. Cancel and a greyed-out Save are at the bottom right. The Create store form

Set the opening hours

The Opening hours block has one row for each weekday. For every day, do one of three things:
  • Fill in Store opens at and Store closes at.
  • Switch on Store is opened all day.
  • Switch on Store is closed all day.
Both switches turn the two time fields off. You can’t switch on both for the same day. Save stays disabled while a weekday has none of the three.

Add geo-coordinates

The Geo-coordinates for the store block is optional. Select Add coordinates to show the Latitude and Longitude fields. Fill in both. If a value isn’t a valid coordinate, the field says Invalid geo-coordinate. Select Remove coordinates to take them off again.

Edit or view a store

  1. Find the store, open its ⋯ menu and choose Edit. Admin users who can only view stores see View. You can also select the row.
  2. Change what you need. The form is the same as Create store, except that the ID field is greyed out.
  3. Select Save. The portal takes you back to the store list.
If you leave the form with unsaved changes, the portal asks whether to Stay or Proceed. Proceeding throws the changes away.

Add date-specific opening hours

A store’s edit form has one more block, Date specific opening hours. Use it for a day that differs from the usual week, such as a public holiday. It only appears when you edit a store, not when you create one.
Date-specific opening hours save the moment you confirm them. You don’t need to select Save for them, and Cancel on the store form doesn’t undo them.
  1. In the Date specific opening hours block, select Add date specific opening hours.
  2. Pick the Date. It must be today or later, and each date can have only one entry. If the date is taken, the dialog says Adjustment on this date already exists.
  3. Optionally fill in Date specific label, for example “Christmas”. If you leave it empty, the list shows the weekday instead.
  4. Fill in Store opens at and Store closes at, or switch on Store is opened all day or Store is closed all day.
  5. Confirm the dialog. The entry appears in the list.
The list shows each entry’s Label, Date, Store opens at, Store closes at, and Closed or Opened for all-day entries. The Start date filter above it shows only entries from that date on. Use Edit on an entry to change it. Delete asks you to confirm before it removes the entry. To add dates for many stores at once, import them instead. See Date-specific opening hours on the import page. A store's edit form, scrolled to the bottom, with the Date specific opening hours dialog open over it. The dialog, headed Adjust opening hours and name for the specific date, has Date, which is required, with the hint 10/10/2023 and a calendar icon; Store opens at and Store closes at, both required and reading Select time; the switches Store is opened all day and Store is closed all day, both off; and Date specific label, with the hint Ex. Christmas and the line If no label is added the weekday will be shown. Cancel and a greyed-out Save are at the bottom of the dialog. Behind it, the edges of the Date specific opening hours block show its Start date filter, its list and its add button. The Date specific opening hours dialog, on a store’s edit form

Deactivate a store

Deactivate a store that has closed for good or isn’t ready to show customers.
  1. Open the store’s ⋯ menu and choose Deactivate. This option only appears for stores whose Status is Active.
  2. In the Confirm store deactivation dialog, choose Yes.
The store’s Status changes to Closed, and the store is hidden from the mobile app. To bring it back, edit the store and set Status to Active.

Remove a store

  1. Open the store’s ⋯ menu and choose Remove store.
  2. In the Remove store dialog, choose Yes.
The store disappears from the list. Its opening hours go with it, including its date-specific opening hours. The portal has no undo for this. If you only want to hide the store from the app, deactivate it instead.

Export stores

  1. On the Stores tab, filter the list if you only want some of the stores.
  2. Select Export.
  3. In the Export data to CSV dialog, open Columns and pick the columns you want. You must pick at least one.
  4. Select Export.
Your browser downloads a file named stores_ followed by the date and time, for example stores_20261014153000.csv. It holds every store that matches your filters, not only the ten on screen. The columns you can pick are Id, AlternateIds, Name, RegistrationNumber, StoreType, Status, ChainId, ChainName, Email, Phone, Country, City, Street, StreetNumber, PostalCode, TimeZone, Latitude, Longitude, and one column for each weekday from Monday to Sunday. A weekday column reads like 08:00:00-20:00:00.

Import stores

To add or update many stores at once, use Import on the Stores tab. That has its own page: Import stores from a CSV file.

Create a chain

  1. Open the Chains tab. It lists every chain with its ID, Name, Color, Logo, White logo, Alias logo and Pin.
  2. Select Create. The Create chain form opens.
  3. Fill in the fields below, then select Save.
Save stays disabled until the required fields are filled in. The Create chain form on the Chains tab, with every field empty. ID comes first. Then Name, which is required, with the hint Used for app; Color, with Color in HEX format and Example: #0162AF; Display order, with Used to display chains in order; and Use this chain as preferred store chain?, which is required, with the choices Yes, Stores will be available to be selected as preferred stores, and No, Stores will NOT be available to be selected as preferred stores. Four upload areas follow, each reading Drop file here to upload or select file, and Single file upload. Allowed file format is .png. Logo image, which is required, says PNG file. Min. height: 150px. Should be uploaded without margin and padding, with a red Please, fill out the field under it. White logo image has the same size rule and says it must be identical to the logo image above, but white and without any background, with a Preview white logo image box beside it. White Alias logo image says PNG file. Width: 402px. Height: 150px., with a What is Alias logos? link. Pin icon says PNG file. Width: 330px. Height 450px., used for Find a store and Pick your local store. Cancel and a greyed-out Save are at the bottom right. The Create chain form

Edit or remove a chain

Open the chain’s ⋯ menu on the Chains tab and choose Edit, or View for admin users who can only view. The form is the same as Create chain, except that the ID field is greyed out. Select Save when you finish. To remove a chain, choose Remove chain from the same menu, then Yes in the Remove chain dialog. A chain that still has stores can’t be removed. Remove or move its stores first. The Chains tab has no Export or Import.

Troubleshooting

A required field is empty or invalid. On a store, check ID, Name, Chain, and the opening hours of every weekday. On a chain, check ID, Name, Use this chain as preferred store chain? and Logo image.
The chain still has stores. The portal refuses to remove it. Remove the chain’s stores, or edit each one and pick another chain, and then remove the chain.
Your admin user can only view stores. Ask the person who manages access to Nexus in your organisation to let you edit stores.
Import only shows on the Stores tab for admin users who can edit stores, and only when bulk import is switched on for your organisation. If you can edit stores and still don’t see it, ask Lobyco support.
